Here is our system..... I dont know if it wil help or not but its how we do things.
1. Sales person does the Traffic and Production order and send its to traffic
2. Traffic puts assigns the Production order a cart number and sends the Production order, with the cart number on it, to our Production Director
3. Our Production Director prints out the production order and assigns it to a DJ.
4. Once that DJ receives the production order, they have THAT DAY to do it. Our operations manager has set a rule that a jock can not leave for the day until all of thier production is complete.
5. Once complete, the DJ puts the spot in the cart numbers, emails the produced commercial to the sales person, signs the time order verifying that it is done and gives the production order to the sales person.
There really isnt much communicating needed... if everyone knows thier part in the circle and does it. Works very smooth for us.

Simple - Excel File - you can sort by person, date, task, action, follow up date, etc..

Being a small station with only nine staff and a few faithful volunteers we have a a to do list for all of our promotional and sales activity. On this list it has jobs and dates due for each task that needs to be done for any given job that we need to do. Seems to work very well for us. We also meet once a week as a team and we go over all the current and upcoming events and promotions.
The people we have involved in all events and promotions are Sales, Promo manager, Promo staff and Program Director so we get all basis covered with all promotions.

We are a small station also. I am program and traffic director and office manager. I have a sales manager, and a morning DJ who is also our production guy. Other than that we have 2 people who run our board evenings and weekends. Do you have any system to double check that your people have done their tasks and such without having to ask them? One of my job duties is to oversee the DJ and board ops but they have been messing up very frequently and it boils down to that they are just not paying attention. I am not sure if this is coming out clearly. I am looking for something that can help me keep track of what they do each shift, and also give them a steady reminder of what they need to do. Thanks.
